[community profile] recolle | reconvention staff information infodump

Hello everyone! If you’re seeing this, it means that your character is staffing and/or volunteering over the convention weekend! Thank you so much for volunteering to help out and all, I really appreciate it, and Kaiba appreciates it too! After that Episode where he collapsed, ha. (speaking of which, please feel free to tag into the log here if you want to!)

Anyway, this infodump post is actually just meant to give you background context and information as to the kind of work that your character would most likely be doing over the course of the convention, so please feel free to thread out interactions or handwave as you please – and of course, you are very welcome to incorporate as much information as you like into your top levels etc. Other than the press corps, which I have outlined specifically below, please let me know which area your character is interested in working in via a comment to this post so that I can keep track! Your character is welcome to mix and match roles if they like.

AND HERE WE GO.

STAFF/VOLUNTEER SHIFTS: The convention spans four days. Opening hours for the convention are as follows:
- Day 1, Thursday, 27 July: 4pm to 9pm (last admissions at 6pm with idol opening concert commencing at 7pm)
- Days 2 and 3, Friday and Saturday, 28 – 29 July: 11am to 9pm (last admissions at 8pm)
- Day 4, Sunday, 30 July: 11am to 4pm (last admissions at 3pm)

All staff members will be required to report at 2pm on Day 1 to assist with last minute set-up and run checks to make sure that everything is ready to go by the time doors open. In addition, staff members will also have to assist with clean-up and pack-up on Day 4, and this should wrap up no later than 6pm, because efficiency is the name of the game here.

Shifts to be worked are for five hour (5) intervals, although there is an allowance for a break during your shift for 1 hour. There is no fixed timing for the break, so feel free to take it whenever! There are a total of six shifts timings (Thursday, Friday morning, Friday afternoon, Saturday morning, Saturday afternoon and Sunday) - please feel free to discuss among yourselves when your character would like to work and when your character would like to actually participate in the con, I’ll be leaving it open.

Volunteers are required to work for at least one (1) shift. If you work for more than one shift, you will be compensated accordingly! Staff members are required to work for at least three (3) shifts, and if you pull in overtime, you will also be compensated accordingly.

COMPENSATION AND OTHER PERKS: Admit it this is what you’re here for. jk well. Your character will definitely be receiving a convention t-shirt and a lanyard marking you as a volunteer. It’s grey, because Retrospec is an ass and took away blue. Wearing the lanyard is compulsory over the weekend although the t-shirt is not.

Volunteers will be compensated at $40 cash for every 5 hour shift worked, and this can be collected at the end of your shift from the staff lounge. In addition, you will be receiving $50 worth of credits to spend over the weekend, which can be used to purchase merchandise at the Artists’ Alley and be used to buy food at the Food Market, as well as free admission to any one paid ticketed event in the $10-$20 range.

Staff members will have had their compensation discussed individually with Kaiba and it’ll be included in their agreed salary for July! Feel free to handwave, but know that it’s definitely above minimum wage. Staff members get $100 worth of credits to spend over the weekend in the Artists’ Alley and the Food Market, free admission to any three ticketed events in the $10-$20 range, and will also get reserved seats at the idol concert provided that you are not working backstage on the Thursday shift! If you happen to be working backstage, you get an extra $50 worth of credits instead.

Both volunteers and staff members will also be able to use the staff lounge/office and storage area, which is based in one of the exhibition halls. Think of something that looks like this, except with more desks instead of low tables and computers involved.

PRESS CORPS: The press corps gets its own bullet point because it’s ambitious as fuck. The press corps are essentially the convention photographers, videographers as well as writers/editors and social media personalities. Essentially, there is going to be very aggressive coverage of the convention happening over four days, and Kaiba himself will be supervising this quite closely. Deliverables for the press corps over these four days will include:
- Photographs of the convention, both for upload to social media and for screening on the digital photo wall
- Short video clips of the convention tailored for posting on Instagram, or for soundbite videos to be submitted to actual media (could be interviews with convention participants etc.)
- Social media commentary on Facebook, Instagram, Twitter, including captions for pictures, advertisements for sponsors etc.
- Written articles in the form of a mini newsletter which will be pushed out through a mailing list. This will be written in a “in highlights/things you missed today” format, as well as press statements to conventional media outlets.
- Social media influencers and bloggers will be covering the convention in real time, and the press corps will provide support if needed.

Current PC press corps roster: Yukine, Prompto, Noctis, Dante (photography and videography) Jack, Katherine (writing and editing) and Penelo (liveblogging)

FINANCE/ACCOUNTS/CREDITS: The convention runs on a credits system, where each convention attendee will have to purchase a prepaid card with credits loaded onto it. Tickets and the like will also be stored on the card when they are purchased. Ticket counters will be situated near the entrance of the convention centre and at strategic points throughout the convention so that attendees are able to top-up their cards via cash or credit and purchase new cards if necessary. Each person boothing at the Artists’ Alley and each stall at the Food Market will also have a card reader for the system which they will have to turn in at the end of each day in order for payments to be made to their accounts after closing. Staff members and volunteers working in this area will have to carry out the following duties:
- Run the card collection booth for attendees who would have ordered cards online for pick-up at the convention
- Issue new cards to people buying cards on-site
- Handle ticket purchases/loading of credits for prepaid cards (if attendees choose not to use the automated machines)
- Tally up accounts at the end of the day
- Handle ad-hoc miscellaneous petty cash requests from staff/volunteers as well as to arrange for payments to be deposited into the accounts of people who are boothing etc.


BACKSTAGE CREW/RUNNERS OR TECHNICAL SUPPORT: Characters working in this area will handle stage management, as they will are going to be on standby for any of the panels/events where any substantial audience is around and also whenever any event requires a stage, in the exhibition halls. The technical support group is for characters who have expressed an interest in working on the technical set up for the events and the general convention itself, and need to be on standby during their shifts in the case of any equipment malfunctions, shortages, or general technical troubleshooting. The largest time sink for this group would be for the backstage crew for the idol concert (working Thursday's shift is compulsory!). Tasks included in under this umbrella include:
- Backstage crew and runners are expected to be familiar with the stage layout and management of props/equipment and to move guests/artistes on and off stage quickly and efficiently
- Helping artistes and their staff to get ready for rehearsals and the actual stage performance
- Standby to assist if any celebrities/panellers etc. need to get in touch with convention management
- May need to stand in to operate lights/audio/video equipment if necessary.
- General logistics management (including making sure that all equipment is requisited/undamaged/returned properly)
- Technical set up for events e.g. making sure there's video screens for screening etc.
- Ad-hoc troubleshooting and fixing of malfunctioning equipment.


GENERAL RUNNERS AND VOLUNTEERS: Catch all function for all other staff! If you have no idea whether your character would be specialising in the above categories, please feel free to have your characters do anything under this banner during their shifts. Tasks included under this umbrella include:
- Helping out at the information counter! Attendees may ask you where a specific booth is, or where they can find a specific event, so please think of this as your generic customer service job.
- Crowd management and ushering. Staffers and volunteers will be on hand to make sure that entry into ticketed events is valid (e.g. scanning people's prepaid cards to make sure a ticket has been loaded) and to ensure that guests are seated inside the halls in time for the various events so that the convention timetable runs smoothly!
- Manning the lost and found counter which will be situated near the information counter. You know stuff is going to end up being lost over the course of four days......
- Roaming around the convention floor and being convenient points of contact for people in distress or people who don't want to walk all the way to the information counter. Everyone working the floor will be able to contact staff who are in the lounge/office area if they need someone to help or to bail them out.
- ENCOURAGING PEOPLE TO SPEND MORE. Encourage people to try games, to shop around the Artists' Alley more, oh you like this actor well he's having a fansign session for $20 and you can get both an autographed photo and a hug from him if you buy a ticket like now, hey I heard this stall at the Food Market makes really good curry you should try this out etc.
- Staff and volunteers under this banner may be required to help out in the other categories in the event of a manpower shortage!
- Anything else which your character could feasibly be doing but I didn't mention :|a if you're not sure, run it by me first!
